Grayroc Technologies ("Grayroc," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect through grayroctech.com (the "Site"), how we use it, and the choices you have. It applies to information collected through the Site and through inquiries you send us. Personal data stored on devices you send us for buyback or disposition is covered separately in the section "Data on Devices You Send Us."
Information We Collect
Information you provide. When you request an assessment or quote, fill out a contact form, email us, or call us, we collect the information you choose to share, such as your name, organization or school district, job title, work email address, phone number, and details about your devices (type, quantity, condition, and timing).
Information collected automatically. Like most websites, the Site and our website host (Squarespace) automatically collect certain technical information when you visit, such as IP address, browser type, device type, pages viewed, referring pages, and the date and time of your visit. This is collected through cookies and similar technologies. See "Cookies" below.
How We Use Information
- To respond to your inquiries and prepare service plans, recovery estimates, and quotes
- To schedule pickups, coordinate logistics, and provide our services
- To send documentation you request, such as audit reports and certificates of data destruction
- To communicate with you about your project, and occasionally about our services (you can opt out at any time)
- To operate, secure, and improve the Site
- To comply with legal obligations and enforce our agreements
How We Share Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only in these limited cases:
- Service providers who help us run our business and the Site (for example, website hosting, email, scheduling, and shipping carriers), who may use it only to perform services for us
- Legal requirements, when required by law, subpoena, or to protect the rights, property, or safety of Grayroc, our clients, or others
- Business transfers, in connection with a merger, acquisition, or sale of assets, subject to this Policy
- With your consent or at your direction
Data on Devices You Send Us
Devices we receive for buyback, refresh, or disposition may contain data. Our business is to remove it, not use it. We do not access, review, copy, or use data stored on client devices except as incidentally necessary to process and sanitize the device. Devices are logged by serial number and processed using data sanitization methods aligned with NIST SP 800-88 guidelines, and we provide documentation of data destruction as described in your service agreement. Where applicable, we handle education records consistent with FERPA and protected health information consistent with HIPAA and any agreement we sign with you. Your service agreement governs in the event of any conflict with this section.
Cookies
The Site uses cookies that are necessary for it to function, and may use analytics cookies to help us understand how visitors use the Site. You can control or delete cookies through your browser settings. Blocking some cookies may affect how the Site works.
Data Retention
We keep inquiry and client information for as long as needed to respond to you, provide services, maintain business and tax records, and meet legal obligations, and then delete or de-identify it.
Security
We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your Choices and Rights
You may ask us to access, correct, or delete the personal information you have provided, or to stop sending you marketing emails, by contacting us at the address below. Depending on where you live, including under the Texas Data Privacy and Security Act, you may have additional rights. We will respond to requests as required by applicable law and will not discriminate against you for exercising them.
Children's Privacy
The Site is intended for businesses, schools, and other organizations. It is not directed to children under 13, and we do not knowingly collect personal information from them through the Site.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and change the effective date above.
